Smart assistant for a beauty salon or barbershop

This kit turns the AI into the receptionist and admin of your salon: it knows your services, clients, tone and booking method, and with one word writes service descriptions, DM replies, booking confirmations, reminders, a cancellation policy and captions. It never invents prices and never promises a specific result.

  • 12 ready commands
  • 4 image prompts
  • ChatGPT, Claude, Gemini
  • Free · no sign-up

Who it is for: Beauty salons, hair and barber shops, nail, lash and brow studios, skin and keratin services; from a home-based stylist to a salon with several chairs.

Build my kit Everything is built in your browser; no data is sent to the server.
  1. 1Fill in the short formName, type of work, customers and tone. Everything stays in your browser; nothing is sent to the server.
  2. 2Paste the brain promptOnce, into ChatGPT, Claude or Gemini. From then on the AI knows your business.
  3. 3Use the ready commandsEach command gives one specific output: a calendar, copy, a customer reply, an image. Just copy.

1About your work

The more precise you are, the closer the AI output gets to your work. Starred fields are required.

2Brain prompt

Paste it once at the start of a chat. From then on the AI knows your business and follows its rules.

Gemini does not support pre-filling: the button copies the text and opens Gemini; just paste.

3Ready commands 12

After the brain prompt, copy and send whichever you need. Fill the [brackets] with the case at hand.

1Description of one service
service: for [service name] with these details: [products used, duration, who it suits] write a description: three short paragraphs (what it is and who it is for, how it is done and how long it takes, what to expect), at most 120 words, no exact longevity promises, ending with one sentence inviting the client to book.

For a shorter highlight version write “service short”.

2Reply to “how much?”
price: a client asked how much [service name] costs. Write three replies: 1) short, with [price] or “from [price]”, 2) one explaining that the price depends on [what: hair length, type of work] and is confirmed from a photo or an in-person consultation, 3) one that moves the chat towards booking with a simple question (e.g. “how long is your hair?”). Do not invent any number.
3Booking confirmation message
booking: write a confirmation message for [client name] for [service name] on [day and time]: thanks, repeat the day and time, address or directions, approximate duration, what to bring or do beforehand, and one sentence about changing or cancelling. At most 80 words, suitable for WhatsApp or DM.
4Appointment reminder
reminder: write two reminder messages for the [service name] appointment on [day and time]: one for 24 hours before (polite reminder, ask for a one-word confirmation, link or number to reschedule) and one for two hours before (short, address, one preparation tip). Each at most 40 words.

For SMS write “reminder sms” to get a shorter version.

5Cancellation and deposit policy
cancellation: write our cancellation and no-show policy with these terms: [free cancellation window, deposit amount, when the deposit is kept]. Three versions: 1) formal for a highlight or website, 2) polite and short for the message after booking, 3) a message to a client who missed their appointment, without blame, offering a new slot.
6Before and after care tips
care: for [service name] write two lists: “before your appointment” (4 to 6 tips, e.g. wash hair, skip lotion, bring a reference photo) and “after your appointment” (4 to 6 maintenance tips). Plain language, no medical terms, and a closing line to see a doctor if any irritation or problem appears.

Correct the technical tips with your own professional experience.

7Caption for a service or real work
caption: for [service name or description of real work] write three captions: 1) short and promotional, 2) educational (who should get this service, what to know), 3) in a client's voice. Each with a first-line hook, at most 80 words, no result promises, a booking call to action at the end and five hashtags.
8Reel ideas and script
reels: give five reel ideas for our salon that can be filmed without showing a client's face (hands, tools, the space, behind the scenes, Q&A). For the best idea, a 15-second script as a table: “what is seen”, “on-screen text”, “sound or voice”. Two alternative hooks for the first second.
9Seasonal or occasion offer
offer: for the occasion [occasion: holidays, summer, wedding season] with the offer [offer: package, gift, special hours] give the full package: offer name, announcement post, two reminder stories, a DM for past clients, and one line of terms (until [date], by prior booking). Do not invent a discount amount or percentage.
10Reply to a review
review: this review was written about our salon: “[review text]”. Write a short, respectful reply. If praise: thanks mentioning the same service and an invitation to return. If a complaint: apologise without excuses, invite them to call or DM so we can make it right, no public argument. Never name another stylist or client.
11Reply to a DM or question
dm: a client asked: “[client message]”. Give two replies: 1) short and friendly, 2) complete with the needed information (time, how to book, what to know). If the question is medical (reaction, hair loss, wound), politely refer them to a doctor. Write [price] where a price goes.
12Salon FAQ
faq: list the ten most frequent questions clients of a salon like ours ask (duration, deposit, parking, bringing children, products used, longevity, rescheduling…). I will write each answer, then you make them short and consistent for a highlight.

4Starter checklist

5Image prompts 4

For making images in Gemini, ChatGPT or any image tool. Where there are [brackets], describe your own product or scene.

Salon interior for an intro post

Photo of the interior of a modern, clean beauty salon with natural light, [colour] chairs and large mirrors with surrounding lights, a few green plants, minimal and warm style, no people, no text, 4:5 vertical frame.

This image only presents the mood of the service; it does not replace real photos of your salon. If you have real photos, use those.

Tools and products flat lay for a story

Top-down photo of hairdressing tools [scissors, comb, colour brush, mixing bowl] on a light stone surface next to a folded white towel and a dried flower stem, soft light, empty space at the top of the frame for text, 9:16 vertical frame.

The empty space at the top is for the story text.

Nail or hair colour palette

Close-up of [a row of nail polish bottles / hair colour swatches] in the range [colours] arranged on a plain cream background, even studio light, no hands, no text, square frame.

For a “colours of the season” post. It is not real work and does not replace it.

Reel cover with text space

Image of an empty salon chair facing a mirror under warm light, blurred background, dominant colour [brand colour], no text, 9:16 vertical frame, the top third empty for a headline.

Add the reel headline yourself on top of the image.

How to get the most out of it

Three common mistakes salons make with AI#

1. Accepting an invented price. If you only write “answer the keratin price question”, the model makes up a number and the client arrives expecting exactly that. This kit tells the model never to invent a price and to write [price] instead, or to say it is confirmed after a consultation.

2. Promising longevity and results. “Keratin guaranteed for 6 months” or “exactly like the photo” are sentences models love to write and that later create unhappy clients. The brain prompt forbids them and replaces them with “usually” and “depending on hair type”.

3. Using generated images as portfolio. AI images are fine for the space, tools and covers; not for work samples or before/after. A client who comes because of a fake image compares it with the real experience.

Where to start#

On day one try only two commands: “price” for your most asked service and “booking” for the confirmation message. If you dislike the tone, change the “Tone” field or be more precise in “Things that must never be said”, then build again. The following week add “care” and “cancellation”; these two cut the most repetitive messages.

Frequently asked questions

Which tools does this kit work with?

It is tested with the free tiers of ChatGPT, Claude and Gemini. You paste the brain prompt once at the start of a chat and then send only the command words.

Is my salon information or phone number stored anywhere?

No. The form is filled in your own browser and the final text is built there. Nothing goes to our server; only the number of uses is counted, without content.

Why does it not give a number for “how much?”

Because most salon prices depend on hair, nails or the type of work, and an invented number breaks trust. If you enter a price range in the form it uses that; otherwise it writes [price] for you to fill in.

Can I use the image prompts to make portfolio pictures?

We advise against it. A generated image presented as your work or as a before/after misleads clients and damages your reputation. The prompts in this kit are only for the space, tools and covers.

Does it work for a barbershop?

Yes. Enter your services in the “Main services” field (cuts, fades, beard) and set “Main client” to men; the tone and texts follow.

How do I send the reminders automatically?

This kit writes the text; sending is up to you. Put the text in Instagram quick replies or saved WhatsApp messages and send it every morning for the next day's appointments.
